Client Service Representative

This is an hourly position that reports to the Director of Operations of SBS. It provides customer service to office operations under the direction of the Director of Operations.
Responsibilities
- Act as the primary point of contact for clients, for both SBS and SBS-VS, providing timely and accurate assistance across various channels
- Manage client accounts by tracking interactions, updating records into our Electronic Medical Record (EMR) system, and ensuring customer satisfaction
- Collaborate with internal teams to coordinate project deliverables, support sales efforts, and address client inquiries or issues
- Support onboarding processes for new clients by guiding them through available services
- Manage outgoing mail, go to the Post Office when required, and distribute faxes as directed.
- Maintain appearance of reception area and office supplies.
Administrative and Clerical Support
- Scan contracts and create stallion, mare, and canine file folders and labels.
- File stallion and mare contract files cooled and frozen shipments, and reports; ensuring all files are PCI compliant.
- Provide clerical support to affiliates, stallion, and mare sales, i.e., sales tracking, updating mailing lists, mail outs, etc.
- Annual archiving of files, i.e., canine shipments
- Provide Admin Support to the management team as directed.
Customer Service Support
- Respond to customer inquiries and communicate to incoming stallion and mare owners the required paperwork and promotional sheets for service requests.
- Enter inquiry information into tracking spreadsheet and follow up as required to close the sale.
- Ensure that horse files are completed prior to facility entry.
- Forward frozen or cooled semen shipment requests to correct department, assisting when necessary.
- Manage customer inquiries and complaints, gather all information pertaining to the issue and forward them to the Director of Operations or appropriate manager for follow-up and resolution.
- Maintain open line of communication with customers, educating them on SBS services, events and answering questions in a timely manner.
- Strive to continuously improve all steps in the client service experience.
Accounting Clerical Support
- Enter new clients into Wise Option and assist in updating client files in Wise Option
- Assist Accounting, upon request, by calling on delinquent accounts; process credit cards as required.
Event Planning Support
- Assist Director of Operations/Vice President with preparation and planning of company events as directed.
Marketing Support
- Assist in coordination and submission of print and web advertising.
- Participate in outbound sales efforts and inquiry lead conversion.
Other duties as assigned by Director of Operations and/or Vice President
Experience
- Proven experience in customer service or account management roles
- Excellent communication skills with the ability to clearly articulate solutions and build rapport with diverse clients
- Familiarity with horses is a plus, especially breeding experience, but not required

SBS is seeking an energetic and motivated undergraduate to intern with our team of professionals at our Maryland based equine reproductive technology company. This is an unpaid internship for the Summer Semester (January/February to May). Housing will be provided.
The individual will assist our on-farm veterinarians, Dr. David Scofield and Dr. Elena Martinez de Andino: foal watching duties, assist at foalings and with neonatal care.
